The free app you download from the Play Store or App Store.
Good at:
- A business profile with address, hours, catalogue and website
- Quick replies, greeting and away messages
- Labels to organise chats
- Free to use
Limits:
- Built for a person (or a small team) replying by hand
- Canned greeting and away messages, but no real automation or AI
- Can't connect properly to your CRM, calendar or lead sources
- Using unofficial tools to automate it violates WhatsApp's terms and risks your number being banned
Right for: businesses where the owner or one person comfortably answers every chat, quickly.
The WhatsApp Business Platform (the "API")
Meta's official platform for businesses that need automation and integrations. You access it through Meta directly or a Business Solution Provider.
Good at:
- Automated replies to new enquiries in seconds, 24/7
- AI that can read the message, answer questions and qualify the lead
- Connecting to your lead sources (portals, website forms, ads), calendar and CRM
- Several team members handling one number
- Approved message templates for reminders and follow-ups
Things to know:
- Needs a dedicated number and business verification with Meta
- Conversations are billed per message by Meta; rates depend on the message type and country and change over time, so check Meta's current pricing
- Business-initiated messages outside the customer's 24-hour window must use approved templates
- Customers must be able to opt out, and you must honour it
Right for: businesses getting more enquiries than they can answer quickly, or getting them at hours when nobody's awake.
The real question: how fast do you reply?
The app vs API choice is really about response time. If an enquiry at 10:47 PM gets answered at 10 AM, the customer has usually already booked with whoever replied first. Research on lead response is consistent: the chance of converting a lead drops sharply within the first hour.
Rule of thumb:
- Fewer than a handful of enquiries a day, and you reply within minutes? The app is fine.
- Missing replies at night, on weekends or when busy? The API with automated replies will win you more business.

- Your business must be verified with Meta.
- Plan your templates (welcome, reminders, follow-ups) and get them approved.
- Decide when the AI hands over to a person: complaints, negotiations, anything unusual.
